No. You can create an account and use your one free trial credit without entering any payment details. You only need to pay when you want to buy more credits.
Single Ticket: one booking per attendee for a single-price event (e.g. charity dinner, village fete). Multi-Session: attendees pick from multiple sessions or classes throughout the day (e.g. dance fitness day, workshop conference). Free Registration: collect attendee info only, no payment involved (e.g. community meeting, volunteer signup).
One credit = one published event form. When you publish a form, one credit is deducted from your account. The form stays live for 30 days.
No. Credits never expire. Buy a pack whenever you need one and use them at your own pace.
Credits are non-refundable once purchased, but since they never expire you can use them for future events.
1 credit for £3.00, 5 credits for £12.00 (saving 20%), and 10 credits for £20.00 (saving 33%). All prices include VAT. Credits never expire so you can buy in bulk and use at your own pace.
Yes. If you run events regularly, a monthly subscription can work out cheaper than pay-as-you-go credits. Starter (£7.99/mo) gives 5 forms per month, Growth (£14.99/mo) gives 15 forms, and Pro (£29.99/mo) gives 50 forms. You can switch to subscriptions from the Credits page once logged in.
Yes. You can start with credits and subscribe later if your event volume increases. Any unused credits remain in your account and can still be used even if you're on a subscription.
Exactly 30 days from the moment you publish it. After that, the form closes and shows an 'Event closed' message to anyone who tries to book.
Some fields can be edited after publishing ('soft fields'): title, description, location, colours, and logo. Other fields lock after the first booking is received ('hard fields'): session prices, maximum spots, and ticket prices. This protects fairness for attendees who have already booked.
Booking data is kept for 14 days after the form expires (44 days total from publish date), then permanently deleted. You'll receive warning emails at day 35 and day 42 to remind you to export your data.
Once published, you'll get a unique link like formvillage.co.uk/book/your-event-name. Share it via email, WhatsApp, Facebook, printed QR codes, or your website.
No, never. FormVillage does not process attendee payments at all. You set up your own payment method and attendees pay you directly. We never see your money or take a cut.
You can offer SumUp QR code, PayPal, Stripe Payment Link, Square, Zettle, GoCardless, bank transfer, or a custom payment method of your choice. You provide the details and they appear on your booking form. You can enable multiple methods at once.
In your admin panel (accessible from your dashboard when logged in), each booking has a 'Mark paid' / 'Mark unpaid' toggle. You update it manually as people pay you.
From your dashboard, click 'Admin panel' on any of your forms. You'll be asked for your admin password (set when you created the form). From there you can see all bookings, mark attendees as paid, and export data.
Yes. Your admin panel has a 'Export CSV' button that downloads all bookings for that form as a spreadsheet-compatible file.
No. The admin panel is tied to your FormVillage account. Only you can access it when logged in. It is not accessible to anyone else, including other FormVillage users.
Attendee booking data (name, email, session selections) is stored securely in our database. It is automatically and permanently deleted 44 days after your event form expires. No manual action is required from you.
If you're collecting personal data as part of your event (which you are), you should mention how it's handled. You can describe FormVillage as your booking platform and note that data is deleted within 44 days of the event.
We've designed FormVillage with GDPR principles in mind: data minimisation, automatic deletion, and clear communication about data handling. You as the event organiser remain the data controller, and we recommend taking appropriate steps for your own compliance.
